How to Set Up a HubSpot Newsletter That Books Meetings, Not Just Opens
A newsletter set up properly in HubSpot does five things: it lands in the inbox, reaches the right segment, asks for one clear next step, follows up automatically on every click, and reports booked meetings rather than opens. Every issue should feed one path: newsletter → content page with a matching call to action → booked meeting → deal.
1. Get the foundations right
If these settings are wrong, the content never matters, because the email lands in spam or reaches people who never agreed to receive it.
- Sending domain: connect the domain in your From address and add DKIM (two CNAMEs), SPF and DMARC records. Aim for "Authenticated," not "Partially authenticated."
- SPF: if a record already exists, add HubSpot to it. Never create a second SPF record.
- DMARC: start at the root domain with a monitoring-only policy, then tighten it once reports are clean.
- Cloudflare users: turn off CNAME flattening and proxying for the HubSpot records.
- Subscription type: create one called "Newsletter," or one per audience if you serve two sides.
- Opt-in: collect consent on every signup form, with double opt-in for EU and UK contacts.
- Marketing contacts: only marketing contacts can receive the newsletter, so set new subscribers as marketing contacts automatically.
- From name and reply-to: a real person and a monitored inbox. Replies are warm leads.
2. Send to segments, not "all contacts"
- Base segment: subscribed to Newsletter, marketing contacts, no hard bounce.
- Audience split: if you serve two sides (talent and employers, say), build a segment for each with its own call to action.
- Fit segment: contacts matching your ICP get personalization and sales follow-up.
- Suppression segment: active sales conversations, competitors and internal staff.
- Unengaged contacts: keep "Don't send to unengaged contacts" on, and send that group one re-engagement email a quarter.
- List hygiene: review hard bounces, role addresses and contacts with no company every quarter.
3. Build a reusable template
Build the template once and change only the content blocks each issue. Top to bottom:
- Preview text that adds to the subject line rather than repeating it.
- A short personal intro (2–3 lines) from a named person.
- A featured story or video, shown as a thumbnail linked to a HubSpot landing page, not embedded or sent to YouTube.
- Two supporting articles, each with a one-line teaser and a "Read more" link.
- One primary call to action button linked to a HubSpot meetings link, with specific wording: "Hiring for a project this quarter? Grab 15 minutes."
- A footer with subscription preferences, unsubscribe and your address.
For every issue, use smart content to swap the call to action by segment, add first name and company tokens with fallbacks, add UTM parameters to website links, group the email, pages and workflow in one HubSpot campaign, and preview at phone width.
4. Make every click land somewhere useful
| Link in the email | Lands on | Must have |
|---|---|---|
| Video | HubSpot landing page | The video, a short summary and a meetings button |
| "Read more" | Article on your site, with tracking code | A topic-matched call to action at the end, plus one mid-article |
| Primary call to action | Meetings link or a page with the meetings widget | A short form with known details prefilled |
| Any page | Website chat | A chatbot or Customer Agent that can book a meeting |
Never send the primary call to action to a generic Contact Us page. It adds a step and loses the context of what the reader wanted.
5. Follow up on every click
Build one workflow that enrolls anyone who clicks a newsletter link, with re-enrollment on. If they've booked a meeting in the last two days, stop. Otherwise send one follow-up email matched to the topic they clicked. Then route high-fit clickers to a rep task (or the Prospecting Agent in draft mode), and keep everyone else in the newsletter and nurture.
6. Add AI only once the basics work
| Feature | Use | Credits | Scope |
|---|---|---|---|
| Data Agent smart properties | Tag each subscriber's fit and likely need | 10 per record | Once per contact |
| AI workflow action | Classify the topic each clicker cared about | 10 per action | Clickers only |
| Nurture Agent (beta) | Personalize the intro and call to action at send time | 10 per email | Fit segment only |
| Content Agent (beta) | Draft the featured story | 1,000 per piece | One piece per issue at most |
| Prospecting Agent | Draft rep follow-ups | 100 per lead | High-fit clickers, draft mode |
| Customer Agent | Answer replies and website chat | 50 per resolved conversation | All replies |
Example budget: for a 5,000-subscriber list with a 500-contact fit segment, Nurture Agent on the fit segment (5,000 credits), 100 clickers classified (1,000) and 20 Prospecting Agent leads (2,000) come to about 8,000 credits per issue. Against a Professional allowance of 3,000 a month, that's about $50 in extra credits. Running the Nurture Agent on the whole list would add roughly $450. Set a monthly credit cap and keep the Prospecting Agent in draft mode for the first three issues.
7. Test and send
- A/B test one variable per issue (subject line, call-to-action wording, placement) and judge on click rate, not opens, which privacy features and bots inflate.
- Send time: use HubSpot's suggested best time on Professional, or per-contact send-time optimization on Enterprise.
- Preview in Gmail, Outlook and on a phone, and click every link.
- Spam check: no image-only emails, no URL shorteners, one From domain matching your authenticated domain.
- Keep a consistent day and time. Readers who expect it engage more.
8. Report meetings, not opens
- Meetings booked per issue: the main number.
- Click-to-meeting rate: meetings divided by unique clickers.
- Click rate: whether the content and call to action interest people.
- Pipeline influenced: the revenue story.
- Unsubscribe and spam rates: keep spam under 0.1%.
- List health over time.
