A HubSpot-Salesforce integration can transform sales and marketing alignment, but only if you plan around the eight places it usually breaks. The two platforms handle data differently, and without clear rules you get duplicates, sync errors and reports that never match.
The challenge: Salesforce separates Leads and Contacts, while HubSpot treats every person as a Contact. That mismatch creates duplicates, broken associations and conflicting updates.
The fix: define clear object mappings and a single source of truth. Use HubSpot for early-stage lead management and Salesforce for qualified records, with strict rules for sync, conversion and field ownership.
The challenge: custom fields often have no 1:1 match. A Salesforce picklist that doesn't align with a HubSpot dropdown can cause data to be rejected or lost.
The fix:
The challenge: HubSpot typically matches people by email address, while Salesforce may use name plus company. The same person or company gets created twice.
The fix: turn on HubSpot's duplicate management, configure Salesforce duplicate rules, and make sure your sync settings use a unique identifier, usually email or domain.
The challenge: HubSpot may assign a lead through a workflow while Salesforce assigns it by round-robin, so owners overwrite each other.
The fix: decide which platform is the system of record for owner data, and restrict overwrites in the other. That ends the "ownership ping-pong" that frustrates reps and wrecks reporting.
The challenge: HubSpot lifecycle stages don't map directly to Salesforce lead and opportunity statuses, which muddles funnel reporting.
The fix:
The challenge: syncs are near real-time, not instant, and failed syncs stack up quietly. The usual causes are missing required Salesforce fields, picklist values that exist in only one system, and API rate limits on high-volume syncs.
The fix: check the Salesforce integration's sync health in HubSpot regularly and set alerts for failures, so small issues don't become big ones.
The challenge: if the Salesforce user behind the integration can't access a record, HubSpot can't update it, and the sync fails.
The fix: use a dedicated Salesforce integration user with read and write access to every synced object.
The challenge: sync lag of a few minutes and different attribution models mean the two systems report different numbers for the same metric.
The fix: define which platform owns the source of truth for each metric. Use HubSpot for marketing attribution and campaign performance, and Salesforce for revenue and pipeline reporting. Write those decisions down for the whole team.
