OC HUG Recap: Using HubSpot's New AI Tools From Prospecting to Close

The first virtual meeting of the relaunched Orange County HubSpot User Group (OC HUG) asked one question: with new HubSpot AI features landing almost weekly, how do they fit together from prospecting to closing a deal? Aaron, a senior evangelist at HubSpot Academy, walked through seven tools and demoed them live.

Why buyers need a different approach

  • Intent is everywhere, but reps miss it. Best-fit accounts are hiring, raising money and visiting your site while reps work from a list built six months ago.
  • Buying is a committee. B2B purchases involve 6–10 stakeholders. Working one contact and hoping they carry you internally rarely works.
  • More outreach isn't the answer. Winning teams send better emails to fewer accounts at the right moment.
  • Fewer visitors, readier buyers. Prospects get answers from AI before they reach your website, so the ones who arrive are closer to buying.

The signals exist, but they're scattered across LinkedIn, the news and your CRM. By the time a rep pulls them together, the moment has passed. HubSpot's argument is that its AI closes that gap because it's grounded in your own data: closed-won history, pipeline, sequences and call transcripts.

Seven tools, treated as a menu

You don't need all seven at once. Pick the one that matches your pain point. Most require Sales Hub Professional or above.

  1. Prospecting Agent: monitors accounts for signals such as funding, executive hires, tech adoption, website visits and acquisitions. When one fires, it finds the right contacts (including from Apollo, ZoomInfo or Surfe), drafts personalized emails and waits for your approval. Monitoring is free; it costs 100 credits per recommended contact, and you can cap how many it surfaces. HubSpot cited a beta customer that saw a 28% increase in booked meetings.
  2. Data enrichment and Buyer Intent: enrichment fills contact and company fields at no credit cost on all plans. Buyer Intent shows which companies are in market, at 10 credits per company per month.
  3. Buying group identification: maps the people around a deal, including contacts not yet in your CRM, and flags deals carried by a single contact.
  4. Data Agent: answers a custom research question about every record and stores it as a smart property, such as "Is this company hiring a VP of Sales?" next to "Did they recently raise funding?"
  5. Conversation intelligence: records and transcribes calls, breaks them into key moments and next steps, gives managers coaching metrics like talk time, and now enriches CRM properties straight from the call. Enterprise can track terms such as competitor names across calls.
  6. Smart deal progression: reads the call transcript and suggests updates to stage, close date and next steps, each with a citation back to what was said. Its one-click follow-up email saves reps an estimated 10–15 minutes per meeting.
  7. AI forecasting: scores deal health from real activity and win history, and flags risk like stale stages, no recent activity or a missing decision-maker.

How it fits into a rep's week

  • Morning: Prospecting Agent and Buyer Intent show which accounts to focus on.
  • Before the call: conversation intelligence and deal prep brief you on past conversations.
  • After the call: smart deal progression updates the deal and drafts the follow-up in a few clicks.
  • End of week: deal health and AI forecasting show where to push and where the risk is.

From the demo

  • Plays tell the Prospecting Agent who to target: a segment, the signals to watch, target personas and a daily cap on suggested contacts.
  • Adaptive outreach changes the message based on what the prospect does, like visiting your site or opening a marketing email.
  • Guardrails set the sender, tone, business hours and whether emails need review. Start with review on.
  • Exclusion segments keep customers and other no-go lists out of the agent's reach.
  • Meetings and calls are now full records in HubSpot, with transcript, suggested updates, action items and a deal-prep view. Turn on recording and transcription in settings, or connect your note-taker.

Q&A highlights

How do you keep credits from becoming a surprise bill? Track usage under Account & Billing → Usage & Limits, which shows consumption by feature and month. Limits are set inside each tool, such as the Prospecting Agent's daily contact cap and Buyer Intent's credit limit. Breeze Assistant doesn't use credits on paid plans.

What's the difference between Buyer Intent and the Prospecting Agent? Buyer Intent is the who: a dashboard of companies showing interest. The Prospecting Agent is the when: it uses those signals to decide when to reach out, then acts on them.

What about teams with no inbound leads? That's the use case the Prospecting Agent was built for. Connect a data provider, build a play for your target buyer, and work the warm contacts it surfaces instead of cold-calling a list. In short, an AI BDR.
